Role Overview


We are seeking a highly organised and proactive Part-Time Sales Administrator to support our busy property sales team.


The successful candidate will play a key role in ensuring the smooth administration of residential and/or commercial property sales, providing excellent customer service to clients and supporting agents throughout the sales process.


This role is ideal for an individual with strong administrative skills, attention to detail, and experience working in a fast-paced, customer-focused environment. Previous experience within the property sector is desirable but not essential.


Flexible/hybrid working arrangements can be discussed for suitable candidates.


Key Responsibilities

Sales Administration

  • Provide administrative support to the property sales team.

  • Prepare and maintain property listings across relevant property portals and company systems.

  • Coordinate property viewings and manage appointment schedules.

  • Prepare sales particulars, client correspondence, contracts, and marketing materials.

  • Update and maintain customer databases and CRM systems.

  • Track sales progress from offer acceptance through to completion.

Client Customer Service

  • Act as a first point of contact for clients, purchasers, solicitors, and other stakeholders.

  • Respond professionally to telephone, email, and website enquiries.

  • Build positive relationships with vendors, buyers, and business partners.

  • Ensure all client information is handled confidentially and in compliance with GDPR requirements.

Property Marketing Support

  • Assist with uploading and maintaining property advertisements on Daft.ie, MyHome.ie, and company social media channels.

  • Coordinate photography, signage installation, brochures, and marketing materials.

  • Monitor marketing activity and maintain accurate property records.

Compliance Documentation

  • Ensure property files are accurate, complete, and up to date.

  • Support compliance with Property Services Regulatory Authority (PSRA) requirements.

  • Assist with Anti-Money Laundering (AML) documentation and customer due diligence processes where required.

  • Maintain accurate records and filing systems.

General Administration

  • Manage incoming and outgoing correspondence.

  • Prepare reports and sales activity updates.

  • Order office supplies and assist with general office administration.

  • Support the wider team with ad hoc administrative duties as required.


Skills and Experience

Essential

  • Minimum 2 years' experience in an administrative, sales support, or customer service role.

  • Excellent organisational and time management skills.

  • Strong communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite, particularly Word, Excel, Outlook, and Teams.

  • High level of accuracy and attention to detail.

  • Ability to manage multiple priorities and work independently.
