Mainline is seeking a highly organised and proactive Bid Contracts Administrator to support the continued growth of the business across our Power, Water and Civil Infrastructure divisions. This role offers an excellent opportunity for someone interested in developing a career in bid management, contract administration and commercial support within one of Ireland's leading utility infrastructure companies.

Your new role:

This is a varied role that combines bid administration, framework contract management, sales and marketing support, and contractual administration. The successful candidate will work closely with senior management, operational teams and external stakeholders to assist in securing and managing strategic contracts while ensuring key commercial and contractual information is maintained and communicated effectively.

The role will be hybrid with occasional travel to project sites, client meetings and industry events as required.

Key Responsibilities:

  • Assisting with the preparation and submission of PQQs, tenders, bids and framework applications.

  • Maintaining bid libraries, capability statements, case studies, CVs and other bid-related documentation.

  • Supporting the production of sales, marketing and promotional materials, including presentations, brochures and customer submissions.

  • Assisting with the administration of framework agreements and contract registers.

  • Supporting management with the preparation and review of client reports and framework performance submissions.

  • Managing document control processes and ensuring all records are maintained in accordance with company procedures.

  • Supporting business development activities, customer engagement initiatives and industry events.

  • Assisting with the preparation of board papers, management reports and strategic business presentations as required.

Qualifications, Skills, Attributes and Experience:

  • Third-level qualification in Business, Law, Commercial Management, Marketing, Construction Management or a related discipline.

  • Previous experience in an administrative, contractual, bid coordination or commercial support role.

  • Strong proficiency in Microsoft Office, particularly Word, Excel and PowerPoint.

  • Comfortable using AI

  • High level of attention to detail with the ability to manage multiple deadlines simultaneously.

  • Strong organisational and document management skills.

  • Experience supporting tender submissions or framework contracts would be advantageous.

  • Knowledge of construction, utilities, infrastructure or engineering sectors would be beneficial.

  • An understanding of contractual law, contract administration or claims management would be a distinct advantage.
