Job Objectives
Main Duties and Responsibilities
Leadership and Direction
- Manage the interface with the CEO's Office with a view to facilitating good communication between internal and external stakeholders.
- Directly support the Chief Executive and Business Manager in the Office of the CEO.
- Responsible for day-to-day management of the office / overseeing administrative support staff.
- Oversee the management of emails to [email protected] ensuring timely responses and action of any follow up.
- Execute timely follow up of all tasks and ensure all deadlines set internally or externally are met.
- Support the preparation of necessary briefing material and relevant documentation for the Chief Executive Officer and Business Manager.
- Support to the highest possible standard by monitoring and reviewing teamwork to ensure quality and accuracy.
- Promote and participate in the implementation of the Reform Programme.
- Ensure that assigned work is managed and actioned within specified timelines.
- Create a positive working environment, which contributes to maintaining and enhancing effective working relationships.
- Lead by example, motivate and encourage others, build team commitment.
- Provide cover for periods of leave for the Business Manager as required
Teamwork, Building & Maintaining Relations
- Be accountable for own work and that of direct reports as appropriate.
- Work collaboratively with colleagues on the Executive Management Team and their support staff (Office of Director of Services & Integration, People & Change, Finance & Corporate Services, Quality & Regulation & Chief Information Officer) and the Board Office.
- Collaborate with the Business Manager in relation to proactive internal and external communication and engagement.
- Liaise with colleagues in DCEDIY, DOE, DOJ and other relevant Departments, Regulators, Advocacy Services, Private, and Community & Voluntary Agencies as required.
Human Resources
- To promote a culture that values diversity and respect in the workplace.
- To provide assist with leadership and motivation conducive to good staff relations and work performance.
- Where appropriate, establish and maintain records of attendance, statistical information, annual returns, and any other information as requested.
- Participate in the recruitment, retention and development of staff including training and continuous assessment

- Maintain standards of practice and levels of professional knowledge by participating in continuous professional development initiatives and attendance at courses as appropriate.

Health & Safety
- Comply with and contribute to the development of policies, procedures, guidelines and safe professional practice and adhere to relevant legislation, regulations and standards.
- Have a working knowledge of the Health Information and Quality Authority (HIQA) Standards as they apply to the service for example National Standards for Child Protection and Care and comply with associated Tusla - Child and Family Agency protocols for implementing and maintaining these standards as appropriate to the role.
- To support, promote and actively participate in sustainable energy, water and waste initiatives to create a more sustainable, low carbon and efficient health service

Skills Requirement
Applicants must by the closing date of application have the following:
- Have at least 2 years' administrative experience relevant to the role.
- Have at least three years' experience in an operational role with proven skills in the following areas.
- Employee supervision
- Stakeholder Management
- Information Management/Reporting
- Have sufficient administrative capacity and experience to discharge the outlined requirements of this role.
