Summary of Role
This role supports the delivery of Professional Development programmes, ensuring efficient operations, accurate administration, and a high-quality learner experience.
Working closely with the Team Lead, the role contributes to the smooth day-to-day running of certificates, diplomas and short courses, while supporting continuous improvement across systems, processes and participant engagement.
Key Responsibilities

Programme Delivery Coordination
Coordinate the delivery of certificates, diplomas and short courses
Manage timetables, schedules, and delivery logistics (venues and online sessions)
Ensure programme materials are prepared and available on time (including Moodle uploads).
Support assessment timelines and coordination activities.

Learner Experience Frontline Support
Act as a key point of contact for learners, responding to queries in a timely and professional manner.
Support the handling of bookings, enrolments and general programme enquiries.
Ensure clear, accurate and consistent communication with participants.
Coordinate the distribution of pre course, mid-course, and end of course surveys
Contribute to a positive, learner-first experience across all interactions.

Tutor Stakeholder Support
Liaise with tutors to support delivery logistics, materials, and scheduling.
Ensure tutors have the information and support required to deliver programmes effectively.
Support lecturers during live Zoom classes by managing technical setup, monitoring session, and resolving issues as they arise. Many of these sessions take place late afternoon/evenings on
Edit live session recordings and pre recorded lecture videos using Vimeo and Adobe Premiere Pro.
Work with internal teams (e.g. marketing, finance) to support programme delivery and coordination.

Systems, Data Administration
Maintain accurate learner and programme data across systems (e.g. Aptify, Moodle).
Coordinate the production and distribution of physical certificates, working closely with assessment manager and print vendors, ensuring accurate preparation, sealing, and timely posting to recipients.
Ensure records are accurate, complete and audit-ready.
Support GDPR compliance and good data management practices.

Financial Operational Support
Support tracking of bookings, attendance and completions across programmes.
Coordinate instalment payment setups for participants
Processing refund requests
Assist with preparation of operational data for reporting and budgeting.
Ensure administrative processes (e.g. tutor payments, attendance records) are accurate and timely.

Continuous Improvement Team Support
Contribute to improving processes, templates and ways of working.
Identify opportunities to streamline administrative tasks and improve efficiency.
Support the adoption of digital tools and new systems.
Work closely with the Team Lead and wider team to ensure consistent delivery standards.
Skills and Experience
Experience
Experience in an administrative, operations or programme delivery role.
Experience working in a fast-paced environment with multiple priorities.
Experience using systems/data to support administration (e.g. CRM, LMS, or similar).
