Reporting to the Workforce Operations Manager, the Scheduling Coordinator is responsible for the efficient management and optimisation of pharmacist, technician, and manager rosters across the McCabes Pharmacy network. The role ensures adequate staffing coverage by coordinating employed and locum pharmacist schedules, identifying and filling vacancies with employed resources where possible, and supporting cost-effective workforce planning. The Scheduling Coordinator also collaborates with Talent Acquisition to evaluate and enhance the effectiveness of pharmacist attraction and retention programmes.

This position can be full time or part time hours.

What you'll be doing:

  • Rostering Management: Develop and maintain accurate and efficient rosters for all on-boarded colleagues and Locum Pharmacists.
  • Ensure appropriate coverage is achieved throughout McCabes pharmacies nationwide and skill levels are always met.
  • Ensure that holiday requests and absences are processed promptly.
  • Ensure compliance with company policies, employment regulations, and industry standards when creating and implementing rosters.
  • Engage with stakeholders across the business and scope requirements, continually reviewing and improving delivery against those requirements, contributing to the internal and external customer experience.
  • Assist with the Pharmacist operating budget by controlling hourly rates, expenses, and hours.
  • Ensure opportunities to reduce costs are realised while protecting KPIs and reporting on the performance to budget weekly and monthly.
  • Identify priority vacancies that will reduce costs and improve pharmacy service and customer experience.
  • Engage with the Talent Acquisition team to inform them of any relevant changes if applicable.
  • Build and maintain relationships with locum agencies and internal Pharmacists.


What you'll need to suceed:

  • Previous experience in rostering, scheduling, or resource planning.
  • Ability to analyse data, spot opportunities, and implement changes.
  • Excellent organisational and time management abilities, handling multiple priorities and meeting deadlines.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with various internal stakeholders.
  • Proficient in MS Office (Excel, PowerPoint, and Word). Desirable Criteria
  • Background in community pharmacy (manager or technician) is preferable.
  • Knowledge of PSI regulations, policies, and procedures would be a benefit.
