Duties
Operational Checks & Daily Controls
- Perform and document daily facility checks including compressed air, chilled water, de-ionized water, F-Gas, and general maintenance standards.
- Provide daily summaries of equipment status, utility conditions, and outstanding actions to the Facilities Supervisor.
- Maintain the site's statutory and regulatory compliance framework.
- Liaise with Fire Safety, STERIS Health & Safety, and external contractors to ensure timely inspections, documentation, and corrective actions.
- Report compliance activities, upcoming statutory deadlines, and any deviations or risks to the Facilities Supervisor.
- Assign contractor access, permits, documentation, and follow-up actions.
- Provide weekly contractor progress updates and highlight any delays or issues.
- Liaise with purchasing for consumables, spare parts, and service orders.
- Maintain structured documentation, logs, and compliance trackers.
- Update CMMS entries, project dashboards, and daily reports.
- Provide purchasing status updates, open orders, and budget-related information to the Facilities Supervisor.

Communication & Cross-Functional Liaison
- Liaise with Quality for equipment status updates, environmental chamber conditions, and facility-related issues.
- Provide structured weekly updates summarizing compliance status, contractor progress, and project timelines.
- Escalate cross-functional issues or delays promptly to the Facilities Supervisor.
Project Coordination
- Monitor project timelines for facilities upgrades, equipment installations, and infrastructure works.
- Track milestones, escalate delays, and ensure stakeholders receive timely updates.
- Support early-stage planning by gathering data, preparing documentation, and coordinating vendors.
- Provide project status reports and timeline updates to the Facilities Supervisor.
Education Degree
Required Experience
- Minimum 2 years' experience in a facilities, compliance, coordination, or technical support role.
- Technical certification or diploma advantageous but not mandatory with strong experience.
- Experience in regulated industries (medical device, pharmaceutical, biotech) preferred.
Preferred Experience
Skills
- Strong IT capability including Excel reporting, SharePoint, Teams, CMMS updates, and structured documentation.
- Excellent organizational skills with the ability to manage multiple workflows simultaneously.
- Clear and professional communication style.
- Understanding of regulated environments (GMP/GDP) is an advantage.
- Familiarity with utilities (air, water, refrigeration, pneumatics) beneficial but not essential.
- Ability to interpret basic technical information and communicate it effectively.
