We're looking for friendly, organised and motivated interns to support the Operations Manager with day-to-day administrative and organisational tasks within different department on campus - Student Services, Residence, Transportation, Activities and Academics. You'll play a key role in helping ensure smooth programme delivery while gaining valuable exposure to how a busy international language campus operates. Internships typically run for three to six months, and many of our interns have gone on to secure full-time roles with EF, supported by our strong commitment to training and professional development.

Responsibilities

Student Services

- Handle student enquiries

- Collect student evaluations

- Doing check-ins

- Analysing students' evaluations at the start, halfway point and end of their stay and responding to/finding solutions for negative comments and experiences

- Being a contact person for host families, students (before, during and after their stay with the organisation) and other customers concerning any questions, providing information and more

- Checking the presence status of minor students, followed by contacting absent minor students and trying to reach their emergency contact and/or homestay provider and finally reporting them as missing to the local Garda in case the student could not be reached

- Providing importing documents for students (letter of acceptance, student letter, PPS application letter, proof of insurance, ...)

- Making Visa appointments with the Garda National Immigration Bureau for Visa students

- Getting parents' consent for minor students who want to go on vacation during their course

Residence/Transportation

- Ensure safe and comfortable living environment

- Welfare checks

- Gathering travel information for arriving and departing students to book their airport transfers

- Informing host families about the student's arrival times and notifying them of any last-minute changes

- Greeting students at the airport and allocating them to the right taxis

- Serving as a contact for residence staff, students, and other customers, addressing any questions, providing information, and ensuring smooth communication before, during, and after the students' stay

- Conducting curfew checks for minor students, followed by contacting absent minors and trying to reach their emergency contact, and finally reporting them as missing to the local Garda in case the student could not be reached

Academic department

- Allocates classes to appropriate rooms and checks for any schedule conflicts.

- Issues certificates for departing students checking their eligibility and ensures they are distributed before students leave.

- Liaises with teachers on a regular basis regarding class changes, distribution of registers, etc.

- Oversees student book distribution to classes and does regular stock count.

- Conducts stock counts of stationary, teacher supplies (e.g. board markers) and printed material (e.g. certificate paper)

- Responds to sales office enquiries relating to academic issues.

- Assists with attendance monitoring

Activities

- Plan and chaperone weekly activities

- Successfully complete activity feedback forms after each event

- Promote current activities to students and help them enrol

- Assist with administrative tasks, as needed

- Design and post flyers and ads to promote activities

- Assist with social media strategy and organize assets (photos, ads, etc)

- Organize and order supplies for activities

- Work with the EF Admin Team to provide excellent service to students

- Liaising with cooperating tourism companies on the telephone, per e-mail and in person

Requirements

- Your internship must be part of your university course

- You must be eligible to work in Ireland at commencement of employment without EF sponsorship

- Proficient in English (written and spoken), C1

- Motivated, energetic and positive

- Highly organized and able to work independently

- Flexible with working hours

- Strong communication skills and proficient in Microsoft Office (Word, Excel, PowerPoint)

- All posts are subject to a Garda Vetting check (or local police check if you do not live in Ireland) and character referencing
