Receptionist / Administrator, Advice Information, South East
Location: Kilkenny
Contract: Part Time, Permanent
The purpose if this role is to provide efficient and professional front line service to clients, visitors, trades personnel, staff and general public, manage a busy switchboard and provide administrative support to teams when required.
What you will do:
Work within the overall objectives, values, and ethos of Focus Ireland, ensuring all service users are treated with dignity and respect.
Provide a professional front-of-house and reception service for clients, visitors, and members of the public attending the Kilkenny office.
Act as the primary point of contact for general enquiries and provide information or direct individuals to the appropriate service.
Assist clients attending scheduled appointments with the Advice Information Service and other relevant supports.
Provide administrative support to housing and support services across the Southeast region.
Manage office administration processes, including postage systems, incoming and outgoing mail, record keeping, documentation, and compliance with security protocols.
Conduct Health Safety checks, organise fire drills as required, and monitor and maintain alarm systems.
Manage stock control and ordering of stationery, cleaning products, hygiene supplies, canteen items, forms, and postage supplies.
Administer and maintain the key management system to ensure the safe and efficient operation of housing services.
Ensure phone calls are answered professionally, transferred appropriately, and that accurate messages are recorded and relayed to staff.
Participate in regular supervision, training, and professional development activities, while maintaining professional boundaries at all times.
Work collaboratively as part of the Focus Ireland Southeast team and undertake any other reasonable duties assigned by management.
What you will need:
Excellent IT skills i.e. ECDL.
Excellent organisational skills.
1 years’ experience of administration and/or reception duties.
Excellent communication skills.
Ability to prioritise work.
Ability to work on own initiative.
Experience and understanding of working with marginalised groups (Desirable)
