Job Duties and Responsibilities
OPERATIONAL & TECHNICAL DELIVERY
- Process and review Rebate, Trailer Fee and Commission activities, including scaled, tiered, reversed and management fee based methodologies, under appropriate oversight.
- Support contract analysis and interpretation, helping to ensure calculations align with client agreements and regulatory requirements.
- Execute and review manual adjustments, exceptions and overrides, ensuring appropriate approvals, documentation and adherence to the 4 eye principle.
- Support tax-related processing, including (but not limited to):
- Irish Withholding Tax (IWT)
- Deemed Disposal events
- Ensure accurate setup and ongoing maintenance of FeeCom reference data, including mandates, contracts, payment instructions and broker hierarchies.
- Deliver accurate and timely client reporting, reconciliations and audit extracts.
RISK, CONTROL & GOVERNANCE
- Support first line risk and control activities for day to day Rebates and Commissions processes.
- Assist with reviewer responsibilities and control evidence requirements, ensuring documentation is clear, timely and audit ready.
- Identify control gaps, processing issues and data quality risks and proactively escalate concerns.
- Support audits, internal testing and regulatory reviews by:
- Clearly explaining processes and calculation logic
- Investigating and responding to queries accurately and on time
- Ensure strict adherence to SOPs, SLAs and regulatory obligations.
CLIENT & STAKEHOLDER ENGAGEMENT
- Support client, internal service and vendor queries relating to Rebates, Commissions and Tax.
- Support the resolution of complex or aged issues, providing clear root cause analysis and corrective actions.
- Work closely with Client Relationship Managers, Fund Accounting, Custody, Registration and Technology teams.
- Contribute to client calls and operational discussions as required.
PROCESS IMPROVEMENT & CHANGE
- Actively contribute to continuous improvement initiatives, including automation, standardization and risk reduction.
- Support implementation of FeeCom enhancements, BCRs and system releases, including testing and validation activities.
- Assist in maintaining SOPs, job aids and control documentation, ensuring ongoing audit readiness.
- Provide input into operational change assessments and support controlled implementation of change.
COACHING & TEAM SUPPORT
- Provide day to day support and share knowledge with Officers and Associates as required.
- Act as a reliable team member and contribute to knowledge sharing within the team.
- Assist with onboarding, training and cross training initiatives as required.
WHAT WE VALUE
Skills & Experience
- Good technical knowledge of Rebates, Trailer Fees and Commissions processing, including fee calculation methodologies.
- Advanced reconciliation skills, including:
- Cash and accrual reconciliations
- FeeCom outputs versus client statements and expected results
- Investigation, root cause analysis and resolution of breaks
- Ability to support technical analysis of calculations, contracts and exceptions, with clear and concise documentation.
- Working knowledge of FeeCom desirable, including:
- Contract and mandate setup and maintenance
- Calculation cycles, validations and interventions
- Exception handling, overrides and audit reporting
- Knowledge of omnibus structures and processes strongly desired.
- Experience supporting tax related processing (e.g. IWT, Deemed Disposal or equivalent), with strong attention to detail and regulatory accuracy.
- Proven ability to operate in a controlled, audited environment with strong risk awareness.
- Good analytical and problem solving skills, particularly for non-standard or complex items.
- Good working knowledge of MS Excel for reconciliations, validations and data analysis.
Education & Preferred Qualifications
- Business, Finance, Accounting or related degree preferred.
- Relevant experience in Transfer Agency, Fund Administration or Investment Operations.
- Hands on experience in Rebates / Commissions / Trailer Fees strongly preferred.
