The Operation Coordinator plays a key role in our company, ensuring that the customer experience is exceptional at all points of contact. This professional will play a vital role in creating, implementing and continuously improving strategies to increase customer satisfaction, retain current customers and attract new ones. They will also be responsible for commercial management and team coordination.
Key Tasks and Responsibilities (in this role you will)
- Own and drive the day-to-day Customer Experience operation across Cork and Limerick
- Ensure service standards, response times, and move-in/move-out processes are consistently met
- Step in operationally during peak demand or team absence to guarantee delivery
- Lead daily team briefings, setting priorities and aligning focus
- Monitor and manage CX performance (KPIs, complaints, reopen rates), identifying root causes and proposing improvements
- Maintain and update SOPs and operational documentation across both locations
- Handle sensitive escalations following internal protocols
- Coordinate cross-functionally with Sales, Facilities, Finance, and Property Management
- Anticipate customer issues and proactively design solutions to reduce complaints
- Provide on-site property support when needed, including inspections and urgent operational demands

- Strong operational management and process improvement mindset
- Ability to analyse performance metrics and act on data (Freshdesk KPIs, etc.)
- Experience with operational systems (e.g., ticketing, property, and workflow tools)
- Capability to manage and prioritise multiple demands in a fast-paced environment
- Solid cross-functional collaboration skills
- Ability to train, guide, and support team members

Experience / Education (You are/have)
- Minimum of 3 years' experience in a customer-facing or operational role
- Previous experience leading or being the main point of contact in an operation
- Background in student accommodation, hospitality, property management, or similar is a plus
- Upper-intermediate English (spoken and written); Spanish is a plus
- Comfortable using operational systems and adopting new tools (including AI)
- Based in (or willing to relocate to) Cork, with availability to travel to Limerick regularly
