Job Description TTM Healthcare are proud to partner with our client in the public sector to recruit for a temporary Grade IV Clerical Officer in Limerick Location: Limerick Position: Grade IV Clerical Officer Hours: Full time, Mon-Fri, 9-5 (35 hours a week) Hybrid Model Pay: 19.97 - 30.67 per hour depending on previous relevant public sector experience Contract: 3 month initial Job Purpose The Grade IV Clerical Officer will provide high-quality administrative and operational support to the Quality Management Team within the service. The successful candidate will play a key role in supporting quality improvement initiatives, including the implementation and maintenance of the ISO 9001 Quality Management System, while ensuring efficient administration and effective stakeholder communication. This role requires an organised, proactive individual with excellent IT skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities Provide comprehensive administrative support to the Quality Management Team. Support the ongoing implementation and maintenance of the ISO 9001 Quality Management System. Prepare, format, review, and maintain quality management documents to ensure consistency, accuracy, and compliance with document control procedures. Manage and maintain electronic filing systems, including SharePoint, ensuring documentation is organised, up to date, and easily accessible. Coordinate and manage multiple shared inboxes and calendars, ensuring timely responses and effective scheduling of meetings and activities. Organise meetings, prepare agendas, record accurate minutes, and track actions arising. Develop and update PowerPoint presentations for internal meetings, training sessions, and quality initiatives. Produce reports and maintain records using Microsoft Excel, including data entry, tracking, and reporting. Support stakeholder engagement by coordinating meetings, communications, and documentation with internal teams and external partners. Assist with the preparation and distribution of quality management reports, documentation, and communications. Ensure confidentiality and compliance with policies, procedures, and data protection requirements. Contribute to continuous improvement initiatives and undertake other administrative duties as required. Essential Criteria The successful candidate will demonstrate: Previous experience in an administrative or clerical role. Must be proficient in MS Office suite and able to pick up systems quickly. Excellent organisational and time management skills with the ability to manage competing priorities. Strong attention to detail and a high level of accuracy. Excellent written and verbal communication skills. Experience managing multiple inboxes and calendars. Experience preparing agendas and taking accurate meeting minutes. Strong interpersonal skills with the ability to build positive working relationships with a range of stakeholders. Ability to work independently while contributing effectively as part of a team. Desirable Criteria Experience supporting quality management or governance functions. Knowledge or experience of ISO 9001 Quality Management Systems.
