About the post:
The Fellows & Members Officer plays a key role within the Faculty of Nursing & Midwifery, contributing to the recruitment, engagement, retention and support of over 800 Fellows and Members of the Faculty of Nursing & Midwifery community. This role supports the delivery of a high-'quality membership experience, including the Fellowship exam and nomination process, annual renewal and Good Standing process, membership services, events, communications, and targeted engagement initiatives. The primary objective of this position is to drive a strong and engaged community of Faculty Fellows and Members.
Spanning operational delivery and community development, the post holder will support the enhancement of engagement activities, contribute to the evolution of membership benefits and services, and assist in strengthening relationships across the Faculty's national and international networks. The role is integral to increasing connectivity, loyalty and pride among Fellows and Members, while supporting membership income and engagement objectives.
The post holder will ensure that all engagement, community building and development activity aligns with and contributes to the objectives of the Faculty of Nursing & Midwifery Strategic Plan.
The post will require travel nationally and / or internationally
Job Responsibilities
Fellowship Processes & Onboarding
§ Lead administrative processes relating to Fellowship and Membership admission routes, including the Fellowship application and viva examination process, nomination pathways, and related assessments.
§ Prepare, issue and collation of associated documentation, including but not limited to advertising material, supporting documentation, portfolios, examination scripts and ratification letters using AI tools where appropriate.
§ Liaise with relevant internal teams to support Fellowship and Membership webinars and Faculty conferring ceremonies, providing accurate and timely information regarding Fellows and Members.
§ Ensure accurate records of all new Fellows and Members on the CRM system, ensuring data completeness and quality.
§ Communicate proactively with the Faculty Board, applicants, nominees, and new Fellows/Members, providing guidance on processes, timelines and requirements.
§ Manage the complimentary 1-year membership of Sigma International for new Fellows annually and act as liaison with the Irish chapter of Sigma.
§ Lead the ongoing development of Fellowship and Membership pathways and processes to ensure a clear, positive, member-centered experience.
Membership Support & Services (Retention)
§ Drive the recruitment and retention plan for Faculty Fellowship and Membership.
§ Deliver a high quality first point of contact service for all Fellows and Members, providing timely, professional responses to queries across services, benefits, and processes.
§ Manage the annual renewal process, including the Good Standing cycle, contributing to retention and lead the continuous improvement of procedures.
§ Ensure the register of Fellows and Members in Good Standing is updated annually.
§ Lead the coordination of Fellows & Members benefits and Faculty community awards, promoting awareness, ensuring accessibility and smooth delivery of each offering.
§ Record, monitor and report usage of membership benefits and services, contributing insights to the enhancement and relevance of the member offering.
§ Ensure member facing platforms, such as the Faculty website and member portal, are accurate, current and user-friendly.
§ Design and develop a dedicated Fellows and Members online platform to support engagement and networking
§ Ensure GDPR compliant records, including contact details, communication preferences and membership status.
§ Lead and manage projects aimed at strengthening the Faculty's member value proposition.
Engagement, Events & Communications
§ Deliver an annual Faculty engagement programme, including academic events, networking opportunities, Fellowship related activities and the annual conference.
§ Plan, co-ordinate and deliver the relevant Faculty events (in-person, online, hybrid national and selected international engagements).
§ Contribute to the development of Faculty communications, including annual reports, newsletters, web content, promotional materials, presentations and digital assets.
§ Lead on engagement campaigns or initiatives designed to increase activity and connection across the Fellows & Members community.
§ Manage the capture, analysis and reporting of engagement data and member insights, supporting data driven approach to programme planning.
§ Propose innovative and creative recruitment strategies for Fellowship and Membership to the Faculty Board and Fellowship and Membership sub-committee.
§ Liaise with the Executive Vice Dean's in relation to engaging Fellows and Members in education and research opportunities
Relationship & Community Development Support
§ Lead the development of a clear Fellows & Members value proposition, including scoping needs with the community, identifying priority areas for engagement, and shaping the foundations for networks, events and future programme development.
§ Act as a key liaison point for Fellows and Members, the Faculty and Faculty Board ensuring meaningful, professional and positive engagement.
§ Champion the Fellowship and Membership awards and Faculty community awards at internal and external events, conferences and meetings, representing the Faculty and encouraging prospective applicants to engage with the nomination and examination pathways.
§ Collaborate with internal stakeholders within the Faculty and across the University to strengthen the member lifecycle from application to ongoing engagement.
§ Coordinate the support for Faculty networks, working groups or related committees, where required.
§ Build connections across the Faculty's national and international membership, contributing to community building efforts.
General Duties
§ Contribute to the effective operation of the Faculty by supporting improvements to systems, processes and policies.
§ Assist with operational and ad hoc projects as required.
§ Support budget tracking for specific activities or events, ensuring responsible and efficient use of resources.
§ Perform other duties as required to support a dynamic and evolving Faculty environment.
Knowledge & Experience - (Essential):
§ Strong communication and interpersonal skills, with the proven ability to build relationships and engage senior professionals, and a membership community.
§ Demonstrated experience in a professional, coordination role supporting structured processes and administering programmes end to end (e.g., examinations, nominations, assessments, awards or similar).
§ Experience delivering high-'quality stakeholder or member support, and implementing engagement activities across professional audiences, from inception to delivery.
§ Solid administrative experience, with accuracy, organisation and reliability across documentation, processes and CRM records.
§ Ability to operate effectively as part of a team: co-operative and patient; share work and information; establish rapport.
§ A pro-active approach to work, solution oriented/problem solver.
§ Advanced IT user, confident with the Microsoft environment, CRM systems and AI software.
§ Strong organisational skills with excellent attention to detail; able to manage multiple priorities and work consistently to deadlines.
§ Understanding of GDPR and the handling of confidential information in a membership context.
