Job Introduction

In this varied role, you'll work alongside the Hire Controllers, and your Line Manager to provide full support and excellent customer service ensuring all hire transactions and administrative tasks are completed efficiently, accurately and in line with company policies / procedures / processes and customer requirements whilst at the same time working closely with all members of the operations & sales teams.

Office based role working Monday to Friday, you'll be delivering great service to customers as well as ensuring timely & accurate completion of all Hire Administration activities. This includes chasing any outstanding chargeable invoices and outstanding equipment to maximise profitable hires and sales.

Key Responsibilities

  • Provide second line contact for customers while delivering excellent customer service through the development of good relationships
  • Responding to customer requests and queries in a timely and professional manner
  • Liaise with and support effectively the Hire Desk team to ensure equipment is despatched and returned correctly.
  • Assist with scheduling transport, talking to transport providers
  • Raising POs to Suppliers
  • Undertake scanning of documents
  • Notify customers of equipment not returned at FOH both verbally and in writing, and raise subsequent invoices for loss charges
  • Raising order exchanges
  • Raise all chargeable invoices (CI) paperwork, notifying both external sales and key customers, raise invoices to customers for the relevant charges
  • Process all administrative tasks to IT systems and paperwork relating to hires, off-hires, suspensions and breakdowns in accordance with customer requirements
  • Keep all correspondence updated to each relevant order
  • Answer the phone in a timely manner
  • Assist on the Hire Desk by raising orders, off-hires, quotes etc.
  • Maintain knowledge of the division's equipment for hire and sale
  • Amending jobs and managing emails and phone enquiries


What We're Looking For

  • Excellent telephone manner and customer service skills
  • Has a Can-Do attitude
  • Experience of working in a fast-paced office environment
  • Excellent computer literacy - MS Office/Outlook skills. Has a strong attention to detail with good numeracy skills
  • Knowledge of hire industry/construction advantageous
  • Geographical knowledge of the UK would be helpful

  • This is a fast-paced, office-based role at the heart of our customer service operation. You will play a key part in supporting your colleagues and our customers by keeping requests and administrative duties moving smoothly and ensuring every job runs to plan.
