This is a 12 month fixed term contract position.

Location: Dublin / Greater Dublin. Proximity to our Dublin city centre offices in D2.

Role Overview

We are seeking a highly organised, resourceful, and proactive Executive Assistant to provide high-level administrative and operational support to our CEO & COO executives. This role requires exceptional judgment, the ability to manage sensitive information, and the agility to pivot quickly in a high-growth environment. The right candidate will be a strategic partner helping to anticipate needs, streamline operations, and ensure our executive leaders can focus on driving growth and operational excellence.

What you will be doing:

  • Event Management: Plan and execute major company events, including the annual Company Kick-Off and Leadership off-sites in Europe and North America.
  • Vendor Management: Partner with external vendors and production agencies.
  • Board & Governance: Manage end to end logistics, agenda planning, and material preparation for Board meetings.
  • Executive Support: Oversee CEO and COO level engagements, calendar management, and complex travel coordination.
  • Cross Functional Coordination: Juggle and prioritise multiple streams of work originating from various internal teams to keep the CEO and COO office running smoothly.
  • Executive Team Rhythm: Own the cadence, scheduling, and operational rigour of all Executive Leadership Team meetings. Drive agenda planning, track action items, and ensure accountability across the leadership team.

  • Resilience: Experienced in dynamic, evolving environments where flexibility and resilience are part of everyday work.
  • Proven EA Track Record: Experience supporting C-suite executives; managing and delivering large-scale corporate events.
  • Tool stack: Proficiency in a digital workplace and collaboration platforms that includes Slack, Notion, Google Suite and Navan
