Property Administrator (12 month Fixed Term Contract) - Chadwick's Group/Woodies

The Opportunity / Who We Seek

The Property Administrator will provide comprehensive administrative and operational support to the Property Division within the Chadwick's and Woodies organisation. The role is responsible for ensuring the efficient co-ordination of facilities services, maintenance activities, contractor management, compliance administration and property-related support services across the property portfolio.

The role holder will act as a key point of contact for facilities related enquiries and will support the delivery of a safe, compliant and high-performing workplace environment.

This role will also support 35 Woodies stores.

Responsibilities:

Facilities Administration

  • Provide day-to-day administrative support to the Property/Facilities team.
  • Coordinate planned preventative maintenance schedules and reactive maintenance requests.
  • Maintain accurate facilities records, databases, invoice management etc
  • Raise purchase orders, process invoices, and track departmental expenditure.
  • Support procurement and vendor onboarding activities.
  • Digital and physical administration of key property documentation including contracts, deeds, leases, and statutory compliance.
  • General office management, Dublin 18 location


Contractor & Vendor Coordination

  • Liaise with external service providers, contractors, and suppliers.
  • Monitor service delivery standards and escalate issues where necessary.


Property & Workspace Support

  • Assist with new premises management, moves, space allocation and workplace setup activities.
  • Support inventory management processes.


Health, Safety & Compliance

  • Maintain health and safety documentation and compliance records related to Property.
  • Assist with audits, inspections, and risk assessments.
  • Support fire safety, emergency evacuation, and business continuity processes.
  • Ensure compliance with company policies and relevant statutory requirements.


Systems & Reporting

  • Prepare routine reports on maintenance activity, service requests, and KPI metrics.


Requirements & Key Competencies

  • Minimum 2 years' administrative experience within facilities, property, operations or a related environment.
  • Strong administration, organisational and coordination skills.
  • Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
  • Experience managing multiple priorities in a fast-paced environment.
  • Strong attention to detail and record management capability.
  • Ability to work collaboratively across multiple stakeholders and teams.


Desirable Criteria

  • Experience working within a large corporate or multi-site organisation.
  • Knowledge of facilities management systems.
  • Understanding of health & safety and property compliance requirements.
  • Relevant qualification in Business Administration, Property, Facilities Management, or related discipline.
