The Role

We are currently seeking a Guest Experience Coordinator to join our Guest Experience team.

This is a pivotal role within the resort, acting as the central point of coordination for VIP (VIG – Very Important Guest) experiences and communications. You will ensure every guest journey is thoughtfully planned, flawlessly executed, and consistently exceeds expectations.

Working closely with our Butlers, Guest Experience Executives, and operational teams across the resort, you will deliver seamless, personalised service at every stage of the guest experience.


Key Responsibilities

  • Coordinate all pre-arrival planning for VIP guests, including itinerary creation, preferences, and bespoke experiences
  • Proactively communicate with guests via phone and email, ensuring all details are captured and expectations anticipated
  • Gather and share detailed guest insights to enable highly personalised service delivery, particularly through the Butler team
  • Support the Guest Relations Call Centre (Switchboard) to ensure consistent service excellence and efficient guest communications
  • Liaise daily with Butlers and Guest Experience Executives to ensure alignment across all guest touchpoints
  • Maintain accurate and up-to-date records of guest preferences to support repeat visits and long-term relationship building
  • Coordinate and distribute VIP arrival information and internal communications across all relevant departments
  • Assist during the guest stay by ensuring requests are efficiently communicated, tracked, and executed by operational teams
  • Prepare weekly reports and curate the VIG Guest Pack for the wider resort
  • Provide administrative support for seasonal events and key resort experiences (e.g. Christmas, Easter, Valentine's)
  • Ensure all guest-facing information, including activities, events, and local experiences, is current and aligned
  • Provide ongoing administrative support to the Director of Guest Experience and management team

About You

  • Experience in a luxury hospitality environment or high-end guest services role is essential
  • A genuine passion for delivering exceptional, personalised guest experiences
  • Outstanding communication skills with a warm, professional, and engaging approach
  • Highly organised with exceptional attention to detail and accuracy
  • Ability to multi-task and prioritise in a fast-paced, high-pressure environment
  • A proactive team player with the confidence to liaise across multiple departments
  • Strong relationship-building skills with a focus on guest loyalty and satisfaction
  • A natural sense of discretion, professionalism, and emotional intelligence

Additional Information

  • Reporting to the Guest Experience Manager and Director of Guest Experience
  • Office-based role, working 5 days over 7, with flexibility required in line with VIP arrivals
  • This role does not require a driver's licence
