Job Description

We are currently looking for an Operations Assistant to join our talented team here at our Dublin studio. The successful candidate will provide first in class facilities services, including front reception services, travel arrangements and health & safety management.
This is a 12-month Fixed-Term contract based in Dublin.
Please note that our studio operates on a hybrid model, with a minimum of two days per week required in the studio.
The successful candidate must have the right to work in Ireland for the duration of the contract.
Key Responsibilities
• Supporting Studio Operations team with general studio upkeep.
• Supporting all departments with meeting arranging and set up.
• Stationary monitoring and ordering.
• Visitor arrangements and hospitality.
• Meeting room arrangements.
• Daily facilities checks and reporting.
• Desk and cleaning audit.
• Operations Coordinator backup.
Duties
• Meeting room preparation and support for 3rd party meetings.
• Visitor Hospitality arrangements.
• Committee events support and room preparation.
• Organise Office Catering as required.
• New employee support through induction.
• Review Desk bookings and skedda adherence.
• Monitor and review of studio cleaning and records.
• Maintain Health and Safety checks & records.
• Maintain Air Conditioning & lighting checks and records.
• Support internal employee moves and Skedda updates.
• Monitoring stock of stationery and supplies.
• Photocopier stocking.
• Ensure Coffee Machines are maintained daily.
• Monitor Studio kitchen supplies and ensure they are fully supplied.
• Coordinator cover for lunches and holidays.
• Other ad hoc duties as required
Key Requirements
Experience
• A minimum of 1 + years' experience in an admin, operations, or support role
• Hospitality or office-based experience is desirable.
Technical Skills
• Proficient in Microsoft Office 365
Other
• Strong organisational and time management skills
• Ability to manage multiple priorities and meet deadlines
• High attention to detail and accuracy
• Clear written and verbal communication skills
• Ability to liaise with stakeholders at different levels

28,700.00 - 30,000.00
