IE - Lead Technical Facilities Co-Ordinator

Role Responsibilities
  • Support the day-to-day delivery of facilities management services across the client contract.
  • Work under the direction of the Technical Estate Manager & Building Manager, providing technical support across all estate-related activities.
  • Act as a technical point of contact for facilities-related queries, supporting both internal teams and client stakeholders.
  • Assist with planning and coordination of maintenance, minor works, and technical projects
  • Collaborate with suppliers, contractors, and internal teams to ensure seamless service delivery.
  • Monitor maintenance performance and ensure service-level agreements are achieved.
  • Report on outstanding Work Order and PPMs, following up with the contractors on the status of works
  • Review contractor documents and ensure all documents are up to date
  • Authorize and manage Permit to Work systems
  • Coordinate Subcontractor maintenance visits with Supplier and Client requirements
  • Complete all site inductions for all Stakeholders/Contractors.
  • Compile RAMs as required
  • Compile service reports, upload to the CAFM system and issue to any relevant parties.
  • Ensure compliance with health, safety, environmental, and building regulations
  • Conduct regular site inspections
  • Support in budget monitoring, contractor cost management, and service charge-related reporting.
  • Support the Technical Estate Manager in driving continuous improvement initiatives and compliance standards across the contract


Role Requirements
  • 3 -5 Years Experience in a Facilities Management Co-Ordinator role or candidate who holds a trade qualification with relevant supervisory or co-ordination experience.
  • Strong understanding and practical experience in reviewing RAMS and compliance documentation, including Permit to Work (PTW) systems.
  • Knowledge of health & safety legislation and statutory compliance requirements
  • Experience managing contractors and overseeing technical works
  • Experience with CAFM platforms for PPM scheduling, reactive works management, and compliance record keeping.
  • BMS monitoring activities, including alarm management, fault diagnosis, and liaison with controls engineers to resolve issues (Desirable)
  • Experience working within a corporate or high-profile client environment (Preferred)
  • Excellent communication skills with strong written and verbal English
  • A demonstrated self-starter who can work on their own initiative
