Job Title: BABM Employer Liaison & Administration

Reporting to: Group Head of Apprenticeships/ Head of Limerick Campus

Location: Griffith College Limerick, O'Connell Avenue

Job Type: Permanent / Part-Time (20 hours per week), subject to 6-month probation period

Key Responsibilities:

Main Point of Contact for Apprentices and Employers
  • Ensure a high level of student service and professionalism at all times.
  • Dealing with queries that come in via phone/email / CRM (HubSpot) in a timely manner
  • Contact Employers directly after initial contact is made to ensure complete understanding of the registration process with Griffith College and SOLAS.
  • Engaging with SOLAS authorised officers


SOLAS Platform Management
  • Contact employers after the expression of interest is submitted through SOLAS to offer assistance or answer any questions.
  • Engage with SOLAS to ensure employers and students are registered correctly
  • Administer and manage the completion of the employer approval process via the ALEAT documentation.
  • Engage with all SOLAS authorised officers to ensure the completed documentation is up to date for each apprentice, mentor and employer.
  • Engage with SOLAS to ensure all learner, employer, and mentor information is up to date, noting any changes to mentors or employers, or withdrawals or deferrals.
  • Provide regular updates to the Consortium Steering Group regarding apprentice registration on the SOLAS platform
  • Provide learner progress reports to the SOLAS authorised, inclusive of attendance and academic performance


Financial Administration:
  • Providing accurate reports relating to the number of apprentices on the programme for HEA reporting
  • Processing of employer sponsorship forms for Apprentices
  • Engaging with student fees and managing the apprentice cost-of-living reimbursement when applicable
  • Manage supplier invoices & purchase orders related apprenticeship programme


Academic Success Coaches:
  • Monitor and engage with academic support coaches to ensure meetings are held and updates provided.
  • Coordinate the ASC reports for each apprentice.
  • Support ASCs when needed in contacting mentors or apprentices


Attendance Platform:
  • Assist in the monitoring & updating of the attendance platform to ensure all learner attendance is accurately recorded & reported
  • Providing weekly updates on attendance to employers, mentors and academic success coaches


Induction
  • Assist in the coordination and preparations for the Induction
  • Liaise with employers and mentors in relation to mentor training


Minimum Education / Experience Requirements:
  • Excellent interpersonal and communication skills.
  • Good planning and organisation skills.
  • Strong attention to detail.
  • Strong IT skills and knowledge of MS Office
