Job Purpose:

The coordination of Hibernia College adjunct faculty is a busy and complex role. It requires commitment to providing a high-quality service to the student body and maintaining positive relations with a large panel of specialist and trained adjunct faculty across the country. The key purpose of the role is to ensure adjust faculty are secured in a clear and timely manner, to tutor students' Face-to-Face Days, online Tutorials and assessments according to the student calendar. Overarching, it is about the effective provision of a positive student experience across specific programmes.

Job Responsibilities

Overarching:

  • Be aware of all quality assurance policies within the Hibernia College Quality Assurance Framework.
  • Maintain accurate records as relevant to the role, in line with data protection policies, department procedures and college housekeeping procedures.
  • Attend relevant meetings and record minutes when required.


Programme Related:

  • Work with the Faculty and Events Manager to co-ordinate and secure faculty to tutor students' Face-to-Face Days, online Tutorials and assessments:
    • Understand the faculty requirements necessary to deliver the programme based on the student calenda
    • Understand the faculty role
    • Undertake the approach, confirmation, allocation, and contracting for each role. This includes the raising of Purchase Order
    • Maintain accurate records through the process, in accordance with procedure
    • Update academic and technical teams on current faculty status as required.
    • Understand the process for recruitment and performance management of facult
    • Understand the training resources available to faculty
  • Be the point of contact for (non-academic) faculty queries by phone and email
  • Communicate with faculty on an ongoing basis, where necessary, ensuring they have clear guidelines and instruction
  • Direct faculty to appropriate policies, procedures, training resources or personnel, as required
  • Securely store and maintain information in compliance with Hibernia College policy and GDPR regulation
  • Aid continuous improvement measures undertaken by the department and the college
  • Undertake any other duties required as determined by line manager


Requirements/Qualifications:

Essential:

  • Proven experience in a similar role
  • Excellent administrative and organisational skills with the ability to prioritise work and to meet strict deadline
  • Strong planning, scheduling and co-ordination skills to track and deliver on the student calenda
  • Excellent attention to detail a must, with an analytical mind and good numeracy skills
  • Very strong knowledge of Microsoft Office - in particular, Excel
  • Excellent interpersonal and people co-ordination skills
  • Excellent communication skills with the ability to communicate in an unambiguous manner both verbally and in written format
  • Ability to work on own initiative and within a team
  • Clear evidence of an ability to work creatively to deal with various contingencies as they arise
  • Displays a pro-active, enthusiastic and student-oriented approach to work


Desirable:

  • Relevant third level qualification or diploma


  • Proven track record of working effectively within a regulatory framework
