Resource Scheduler

We are seeking a highly organised and proactive Scheduler to support day-to-day engagement scheduling within our Audit service line.

This position plays a key part in ensuring the right people are assigned to the right engagements at the right time, helping to optimise utilisation, minimise scheduling conflicts, and support the successful delivery of client work.

The successful candidate will work closely with Audit Partners, Directors, Managers, and the Resource Management team to maintain accurate scheduling data and respond to changing resourcing requirements in a fast-paced environment.

Key Responsibilities

Engagement Scheduling

  • Support daily allocation of staff to audit engagements based on availability and business needs
  • Maintain accurate and up-to-date schedules
  • Respond to staffing requests from engagement teams

Conflict Management

  • Monitor and resolve booking conflicts across engagements
  • Identify overallocations, gaps, and resourcing risks
  • Escalate complex issues where required

Leave & Training Coordination

  • Track annual leave, study leave, and training commitments
  • Ensure availability is accurately reflected in systems
  • Support forward planning to minimise disruption

Systems & Data Management

  • Maintain accurate updates in scheduling tools (Dayshape)
  • Ensure strong data integrity and consistency
  • Support scheduling reports and weekly reviews

Short-Term Resource Balancing

  • Assist in balancing resources across engagements on a weekly basis
  • Reallocate staff to meet changing priorities and deadlines
  • Support utilisation optimisation across the audit team

Weekly Scheduling Reviews

  • Prepare inputs for weekly scheduling meetings
  • Track actions and follow up on key items
  • Support continuous improvement of scheduling processes

Skills & Experience

Essential

  • 1-2 years' experience in an administrative, recruitment, or Talent Acquisition role
  • Strong organisational and coordination skills
  • High attention to detail and accuracy
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and stakeholder management skills
  • Proficient in Microsoft Excel

Desirable

  • Experience in a professional services environment
  • Exposure to scheduling, workforce planning, or resourcing activities
  • Familiarity with scheduling tools (e.g. Dayshape, Practice Engine)
  • Understanding of audit or project-based delivery environments
