Summary of Role  

Reporting to the Conferencing and Facilities Manager, the Facilities Assistant role supports the efficient day-to-day operation of facilities and conferencing services. It combines customer interaction with hands-on operational tasks to ensure a professional, safe, and well-maintained office environment. The position offers a strong foundation for someone starting their career in facilities.

Working as part of the Conferencing and Facilities team, the successful candidate will contribute to a wide range of operational, customer-facing, and practical activities. The role requires a collaborative and proactive approach, with a strong focus on teamwork and delivering a consistent, high-quality service across all areas of the building.

Key Responsibilities  

Facilities Helpdesk Support

  • Responding to facilities queries via the helpdesk and log issues accurately.

  • Coordinating with contractors, ensuring work is completed safely and to standard.

  • Supporting general building maintenance tasks as required.

  • Monitoring and maintaining communal areas, ensuring they remain tidy and functional.


Events, Conferencing AV Support

  • Setting up meeting rooms, conference spaces, and event areas.

  • Assisting clients with Audio Visual setup, basic troubleshooting, and equipment checks.

  • Working closely with event organisers, tenants, and both internal and external customers to ensure smooth event delivery.

Front‑of‑House Reception Cover

  • Providing reception cover when needed, offering a friendly and professional welcome.

  • Managing incoming and outgoing post, deliveries, and courier collections.

  • Supporting visitor management, access control, and general front‑of‑house duties.

Tenant Staff Support

  • Building positive relationships with tenants and internal teams.

  • Responding promptly to daily requests and providing practical support.

  • Ensuring shared spaces, kitchens, and amenities are well maintained and stocked.

Health and Safety:

  • Supporting the implementation of health and safety procedures, ensuring compliance with internal policies and regulations.

  • Reporting hazards, incidents, and maintenance issues promptly, following correct procedures.

  • Assisting with routine checks (e.g. fire safety equipment, emergency exits, and general safety inspections) to maintain a safe working environment

Flexibility:

Due to the nature of this role, high levels of flexibility are required in relation to working hours including on call and weekend work, early and late afternoon shifts.


Skills and Experience 

Previous experience would be advantageous but is not essential - as training will be provided. This role is ideal for someone looking to start a career in facilities within a corporate environment.

  • Previous experience in a facilities, property, hospitality, or similar operational role.

  • Exposure to health and safety procedures or responsibilities in the workplace.

  • Understanding of maintaining professional corporate environments or service standards.
