Time of Work: 8.45am - 5.15pm (with flexibility for some evening examinations and some weekends)

Key Tasks:

Working under the management of the Chief Operating Officer & Registrar, the Exams Manager is responsible for the day-to-day management of all examinations and award-related activity within DBS. He/she will manage the Exams Team and will have management and oversight of the end-to-end exams process.

Main Responsibilities:
  • Oversee the relevant processes relating to examinations scheduling and logistics, exam paper delivery, exam paper security, invigilation, arrangements for students with additional needs, the board of examiners, and conferment of awards.
  • Oversee the process of preparing for examination boards, release of results, student appeals etc.
  • Coordinate internal and external examining processes for all programmes in conjunction with relevant colleagues.
  • Provide guidance to the academic administration teams in ensuring standardisation in the implementation of processes and procedures relating to examinations, exam boards, parchments and transcripts.
  • Liaise with Programme Leaders, Faculty Managers, Programme Managers and the Head of School in the coordination of examinations for all programmes.
  • Oversee documentation of standard operating procedures and guidelines relating to examinations and boards of examiners.
  • Assist the Assessment and Regulations Manager in the completion of quality assurance activities relating to examinations.
  • Liaise with Quality and Qualifications Ireland and all other relevant stakeholders as appropriate.
  • Oversee the management of student information and the updating of student records.
  • Coordinate graduation ceremonies in conjunction with the wider Academic Affairs Team.
  • Communicate examinations related material to students throughout the year.
  • Support the reporting of results to Awarding Bodies.
  • Oversee the preparation of assessment results for release on the college website.
  • Oversee the organisation of invigilator training.
  • Oversee the preparation of invigilator schedules prior to examinations.
  • Oversee the preparation of lecturers and external examiners examination packs post exams.
  • Any other duties as commensurate with the post.


Required Skills, Experience and Attributes:
  • Experience of managing large volumes of assessment and examinations in a Higher Education environment.
  • Excellent IT skills: MS Office, including advanced Excel skills; Google Applications; Student Information Systems; Virtual Learning Environments.
  • Excellent organisational skills, including process improvement and change management.
  • Understanding and awareness of the regulatory environment and experience of QA.
  • Excellent ability to coordinate and work with a range of stakeholders, internal and external to the organisation.
  • Excellent time management skills and ability to meet hard deadlines.
  • Excellent writing and reporting skills.
  • Flexibility and responsive to change.
